The Special Events Graduate Assistant will assist with planning and implementation of a variety of events – Webster Works Worldwide community service day (WWW), Commencement, and various events for the President’s Office including donor lunches and dinners.

Term of appointment: 1 academic year (renewable for 2nd year)
August 20 – May 17 appointment

Course Work:
Must be accepted to a graduate program at Webster University
Must enroll in 9 credit hours of graduate courses per semester
Must maintain at least a 3.0 GPA

Hours of Work:
Not to exceed 20 hours per week

$16.22 per hour on a bi-weekly basis

The equivalent to 50% of graduate tuition at on-ground rate for the 9 credit hours per semester, which is non-taxable.

Minimum Qualifications

- Bachelor’s degree, acceptance to the University, enrollment in a graduate program of study at Webster University
- Strong sense of initiative and commitment to the position
- Highly organized and detail-oriented
- Strong verbal and written communication skills
- Flexibility to create a schedule that will accommodate the event calendar (including nights and weekends as needed)
- Professional and personable
- Ability to work without constant supervision
- Proficient computer experience, preferably with Macintosh (standard Microsoft Office applications and Adobe software)
- Must have reliable transportation for traveling to off-site events as well as transporting event materials

Preferred Qualifications

- Seeking a career in Special Events, Communications or related field
- Significant event coordination and undergraduate leadership experience

Physical Demands

Must be able to walk around campus frequently. Occasionally, the Special Events Graduate Assistant position may require the lifting of 20-pound boxes and moving special event materials.

Essential Duties

Webster Works Worldwide responsibilities may include:
- Managing and editing the WWW Project Database
- Recruiting agencies and maintaining the WWW Agency List
- Designing and coordinating promotional materials and displays
- Coordinating marketing and advertising efforts
- Creating and overseeing a variety of Google Documents to track participation
- Managing the WWW Facebook and Twitter accounts, creating strategy and content
- Coordinating the communications with Extended Campuses and Alumni chapters, filling t-shirt orders
Commencement responsibilities may include:
- Coordinating Staff Placement of over 300 staff members
- Assisting with Committee meetings
- Maintaining organized inventory of supplies
- Ordering Flags
- Managing and organizing print materials and signage
General responsibilities may include:
- Assisting with event setup/strike and on-site management (directing vendors, staffing the check-in table, etc.)
- Coordinating event details with internal departments and vendors
- Updating website as needed (light content, links, photos)
- Designing and editing promotional materials and venue layouts using Adobe software
- Coordinating invitation mailings and RSVPs
- Creating event signage including nametags and place cards merging from Microsoft Excel
- Making presentations to classes and staff groups
- Directing the Special Events work-study student as needed
- Providing administrative support for the Office of Special Events as needed
- Other duties as assigned
