Job Description Summary

The representative assists the MEMP campus by performing specialized services that relate to a program, project, or service provided by the University such as coordinating the processing and submission of all documentation for admissions, registration, tuition payments, and financial aid. Reports to the Director.

Minimum Qualifications

• Two years college coursework and/or equivalent experience.
• Requires above average knowledge of all Microsoft Office products and data entry experience using mainframe computer systems.
• Knowledge of federal financial aid policies and procedures preferred.
• Knowledge of military tuition assistance preferred.
• Knowledge of current general office practices and procedures including formal correspondence and communication.
• Ability to clearly communicate policies and procedures, both orally and in writing.
• Above average customer service skills that include working with a diverse staff/customer base.
• Ability to organize, plan, prioritize, and multi-task.
• Ability to exercise important human relations skills in establishing and maintaining effective working relations with the university community.

Preferred Qualifications

Organizational skills; detail oriented.

Familiarity with and ability to process applications, forms, as well as the ability to establish and maintain records.

Ability to operate various office equipment such as computers, typewriters, fax machines, and copiers.

Computer literate; knowledge of current administrative software and applications, such as word processing, spreadsheet, database, graphics, and email.

Knowledge of regulations and procedures regarding financial aid.

Knowledge of University policies and procedures.

Ability to communicate effectively, both orally and in writing.

Ability to work effective with others, and to assist staff, students, faculty, and the public cooperatively and courteously.

Physical Demands

Within the general range of an office environment.

Essential Duties

Responsible for all aspects of extended campus administration including, but not limited to, computer input and the processing of all paperwork associated with student applications, transcripts, registrations, withdrawals, drops and adds, tuition payments, course syllabi, program evaluations, course summaries, class lists, and grade sheets.

Answers telephones as well as assists staff, students, faculty, and the public by responding to inquiries, requests for information, and complaints.

Analyzes and solves technical and/or systematic problems to ensure individual needs are met.

Creates and maintains electronic and paper files.

May be asked to represent the University at a variety of informational and marketing functions and conferences to market the University programs to surrounding businesses and community.

Serves as liaison with main campus for student issues and Financial Aid matters.

Works with students and financial institutions to coordinate the completion and submission of all financial aid documents; processes paperwork and maintains database.

Establishes and maintains filing and recordkeeping system for campus records. Maintains campus student and faculty files.

Prepares term course schedules, classroom assignments, and coordinates with instructors regarding class assignments, course syllabi, and textbook requests.

Responsible for processing of textbook orders.

Responsible for correspondence to faculty to communicate campus events.

Coordinates graduation ceremony.

Handles a wide range of situations and conflicts involving the clerical and administrative operations of the campus which at times cannot be brought to the attention of the campus Director.

Operates various office equipment such as computer, typewriter, fax machine, and copier.

Performs other duties as assigned.
