Job Description Summary

Incumbent performs moderately complex clerical assignments and serves as the campus financial aid representative and as the campus clerical expert, requiring more experience and a broader interpretation of campus policies and procedures. Duties include processing all student financial aid needs, including explaining financial aid guidelines, and processing of all financial aid paperwork, responding to students, staff, or faculty inquiries by providing information or assistance, composing conventional and unconventional correspondence, operating information systems to produce correspondence, reports, and forms, coordinating administrative systems and forms for the department, forwarding paperwork for processing and implementation, requisitioning office supplies, scheduling and arranging campus meetings, social events, or seminars, assembling materials, handling confidential materials, maintaining department records, monitoring campus expenditures, and operating and maintaining office equipment. Reports to the Director

Minimum Qualifications

Two years of college coursework and/or equivalent experience

Preferred Qualifications

Computer Literate; knowledge and experience in the use of current administrative software systems.
• Organizational skills.
• Detailed oriented.
• Familiarity with office equipment.
• Customer Service skills.
• Ability to communicate effectively both in writing and in person to students, staff, and the public.

Physical Demands

Within the normal range of an office environment. May be required to lift, push or pull 20 lbs.

Essential Duties

• Types/word processes a variety of correspondence, forms, syllabi, resumes, tests, handouts, and reports for immediate supervisor, faculty, and the office.
• Assists students with registration process by helping students complete the appropriate forms; processes and forwards information to the main campus.
• Enters various data onto the computer system to create, change, or update various database files; executes computer commands to print materials.
• Gives information (verbal and/or material) to students, staff, faculty, and the public applying knowledge of University policies, procedures, and programs.
• Prepares and mails various information to students, staff, Tuition Management Services, and to main campus personnel.
• Assembles and maintains student, faculty, and office files; forwards required paperwork to main campus for processing.
• Processes a variety of documents; reviews for accuracy and completion; forwards to appropriate personnel for approval.
• Assists students with financial aid paperwork; provides information regarding financial aid options, programs, procedures, and policies; interacts with the main campus regarding financial aid problems and issues; presents financial aid video to new financial aid awardees; maintains student financial aid files; contacts main campus regarding financial aid problems, awards, and paperwork.
• Acts as a liaison between students and St. Louis regarding tuition payment issues; accepts, processes, and forwards tuition payments to appropriate personnel.
• Creates various office files; files student and office information.
• Monitors maintenance of office equipment; contacts appropriate outside vendors for repairs.
• Orders office supplies and forms as necessary.
