Job Description Summary

Incumbent performs duties under general supervision involving the clerical and administrative operations of the department/campus which at times cannot be brought to the attention of the department/campus official. Advises individuals inside and/or outside the University on department/campus official’s philosophy on office issues. Handles highly confidential records regarding students, personnel, and administrative matters. Performs a wide variety of general daily tasks. Reports to the Director.

Minimum Qualifications

Two years college coursework and/or equivalent experience.
• Organizational skills.
• Detail oriented.
• Above average word processing and data entry skills.
• Knowledge of general office practices and procedures.
• Knowledge of office equipment, such as computer, copier, multi-line telephone, etc.
• Ability to communicate effectively, both orally and in writing.
• Computer literate; experience in the use of administrative software.
• Knowledge of filing methods.
• Ability to work well with others to assist students, staff, and the public cooperatively and courteously.
• Ability to exercise human relations skills in establishing and maintaining effective working relations with the University community.

Within the normal range of an office environment. May be required to lift, push or pull 20 lbs.

Essential Duties

• Performs a wide variety of general clerical functions such as data entry, filing, answering phones, taking messages, and generating student reports.
• Enter class lists and other office correspondence.
• Create and maintain student files.
• Operates various office equipment.
• Schedules appointments for the Director; maintains calendar of events.
• Orders office and printing supplies.
• Processes documents requiring office procedural knowledge; obtain signatures; routes appropriately. Documents include, but are not limited to, registrations, drop/add/withdrawal forms, enrollment applications, and transcripts.
• Gives information in person or by telephone to students, staff, and the public regarding University policies and procedures.
• Resolves conflicts, such as those involving registration, billing, payments, drops/adds/withdrawals, and general student concerns; refers serious conflicts to immediate supervisor if unable to resolve.
• Greets office visitors; answers, screens, and routes telephone calls; takes messages.
• Distributes class lists to appropriate personnel; monitors for accuracy.
