Job Description Summary

The Arcade Coordinator works in cooperation with Webster University’s Department of Art, Design, and Art History to ensure seamless activities in the Arcade Contemporary Art Projects space. Art exhibitions and other events in the space will be managed to maximize accessibility, add value and minimize limitations. The average time required will be 15 hours per week, schedule varies, will include nights and weekends

Minimum Qualifications

BFA/BA in Visual Art/Museum Studies/Non-Profit/ Management/Public Relations or related field

Requisite Experience:
Ability to work in a gallery/museum setting

Functional/Technical Skills:
Above average knowledge of all Microsoft Office products as well as Adobe Creative Cloud Suite
Knowledge of current general office practices and procedures including formal correspondence and communication.
Ability to clearly communicate policies and procedures, both orally and in writing.
Above average customer service skills that include working with a diverse staff/customer base.
Ability to organize, plan, prioritize, and multi-task.
Ability to exercise important human relations skills in establishing and maintaining effective working relations with the university community.

Preferred Qualifications

Museum experience, knowledge of Contemporary Art
Experience in Non-Profits a plus
Experience with working large events
Knowledge of Event Planning

Physical Demands


Essential Duties

Maintain Arcade Gallery and Auditorium Calendar – which includes but is not limited to coordination of internal and external events taking place at the Arcade Gallery and Auditorium. Communicate the events to appropriate departments, supervisors and place work orders accordingly.
Meet with potential clients, deposit payments and follow up on financials for these rentals.
Coordinate Installation and de-installations of all exhibitions, which includes but is not limited to oversight of wall preparation (patching, painting and construction of walls).
Initiates and maintains practice of keeping all records for Arcade Gallery in an on going master file for all exhibits through out the year, including inventory of artwork. Assure photographical documentation of each exhibition is completed.
Coordinates with Development in tracking grant related expenses
Ordering supplies from local and national vendors as needed.
Supervise the work studies and delegate duties
Maintain contact between all exhibiting and visiting artists, via email and phone to ensure delivery dates and times.
Coordinate media equipment needs for exhibits and events.
Efficient in troubleshooting and creating solutions as well as being able to work well under pressure and adhere to strict deadlines.
Create all signage in Illustrator for all vinyl’s for every exhibition
Prepare press releases and post them as well as maintain gallery’s social media pages.

Secondary Duties and Responsibilities*
Attend Exhibitions and private showings to help promote DADAH, Hunt Gallery & Arcade Contemporary Art Projects.
