Job Description Summary

Webster University’s Louisville, KY Metropolitan campus is seeking a Part-time Department Representative. This position supports and enhances university initiatives, including consistency of academic programs, student inquiries, enrollment, retention as well as student and alumni engagement. The incumbent will perform regular and specialized administrative functions to support the work flow of the Director, full time and adjunct faculty, students and staff.

Minimum Qualifications

• Two years college course work and/or equivalent experience.
• Possesses strong oral and written communication and presentation skills.
• Exceptional organization and time management skills.
• Ability to interact effectively with students, faculty, staff and administrators.
• Detail oriented individual with a willingness to take initiative in an ambiguous office environment.
• Ability to meet deadlines and exceed expectations on a regular basis.
• Excellent computer skills; above average knowledge of MS Word, Excel, PowerPoint and Outlook.
• Availability to work evening hours as required.

Preferred Qualifications

• minimum 5 years’ experience in academic/office setting
• Bachelor’s degree preferred.

Physical Demands
Essential Duties

Course Maintenance and scheduling:
• Create and maintain student facing course schedules; coordinate course locations; assist Administration in contacting and communicating with adjunct faculty about course preferences and department needs; enter schedule in the CARS system and course descriptions online.
• Coordinate textbook orders for all the classes; obtain instructor review copies and other instructional material.
• Assist instructors with preparation of curricular materials, room reservations, and equipment for classes. Troubleshoot problems with classroom conflicts and non-functioning equipment. Train new users on instructional software and equipment.
• Assist faculty with instructions for entering grades as needed.
• Assist students and faculty with registering students for classes and troubleshooting any problems that may arise, such as holds on student accounts, missing pre-requisites, etc.

Essential Duties and Responsibilities
• General financial aid, VA and Vocational Rehabilitation monitoring and assistance;
• Troubleshoot and solve various questions and problems from students, faculty, and other university departments that require a broad knowledge of university policies, procedures, and department programs.
• Manage and maintain the Campus historical archive (including photographic documentation) of campus events, faculty, students and graduates.
• Event planning responsibilities as necessary.
• Make recommendations and suggestions for improving the overall operations of the office.
• Manage the departmental office, including serving as the office receptionist, answering phones, ordering supplies, maintaining office equipment, creating flyers, and maintaining confidential records and files.
• Ensure student updates, revision and changes are accurate and university deadlines met.
• Performs other duties as assigned.
